Overview

Crew’s Zoom integration is a per-user connection. Once you connect your own Zoom account, any meeting you record to the cloud is picked up automatically — no one else’s meetings, no manual export.

After a recording finishes and Zoom generates its transcript, Crew downloads it, runs it through AI analysis for a summary, decisions, and action items, and matches it to the right project. From there it either lands in your review queue or, if you’ve turned on auto-assign, becomes a project artifact directly.

Adding the app

Takes about a minute. You’ll be redirected to Zoom to sign in and approve access, then dropped back into Crew.

Before you start, make sure you have:

  • A Zoom account with Cloud Recording enabled, and Audio Transcript turned on under Zoom’s recording settings — this is what generates the transcript Crew imports.
  • A Crew account with access to at least one project.
  1. Open the connection screen. From the Zoom App Marketplace, find Crew and click Add — or, already inside Crew, go to Profile » Integrations.
  2. Click Connect Zoom. You’re redirected to Zoom’s sign-in and consent screen.
  3. Sign in to Zoom if you aren’t already.
  4. Review the access Crew is requesting, then click Allow:
    • cloud_recording:read — view and download your cloud recordings, to fetch the transcript
    • meeting:read — view meeting details and past participants, to match the right project and attendees
    • user:read — view your basic Zoom profile, to identify you as the meeting host
  5. You’re back in Crew, with Zoom shown as Connected.

Using the integration

Once connected, most of this runs on its own. A few features are worth knowing about.

Automatic capture & AI meeting notes (automatic)

Record any meeting to the Zoom cloud. Once the transcript finishes generating, it appears in Crew with an AI-written summary, a decisions list, and action items — usually within a few minutes of Zoom marking the recording complete.

Prerequisite: the meeting must be recorded to the cloud (not locally) with Audio Transcript enabled, and you must be the meeting host.

Review & assign queue (Meetings » Pending)

Every captured transcript waits here with its suggested project and confidence score. Confirm the suggestion, redirect it to a different project, split one meeting across several projects, or dismiss it if it’s not billable work.

Use it when: you want a human check before a transcript becomes a permanent project artifact.

Auto-assign threshold (Profile » Zoom)

Set a confidence threshold (70–95%). Transcripts that clear it skip the review queue entirely and create the project artifact right away, with an “Auto-assigned” chip for seven days so you can confirm, move, or archive it.

Use it when: most of your meetings map cleanly to one project and manual review starts feeling redundant. Off by default.

Import from Zoom (manual)

Browse your recent Zoom cloud recordings directly and pick specific ones to import — useful for a meeting recorded before you connected Zoom, or one the automatic capture missed.

Prerequisite: Zoom connected; the recording still exists in your Zoom cloud storage.

Manual transcript upload (no Zoom required)

Paste or upload a transcript file (.vtt, .srt, or plain text) directly — for meetings recorded outside Zoom, or if you’d rather not connect an account at all.

Removing the app

You can disconnect from either side — Zoom or Crew. Removing from Zoom is the more complete option since it revokes access at the source.

From Zoom:

  1. Log in to your Zoom account and go to the Zoom App Marketplace.
  2. Click Manage » Added Apps, or search for the “Crew” app.
  3. Select the Crew app.
  4. Click Remove.

From Crew:

  1. Go to Profile » Integrations.
  2. Find the Zoom card.
  3. Click Disconnect.

Implications of removal

  • New Zoom recordings stop being captured immediately — nothing more arrives in the review queue.
  • Anything already sitting in your review queue stays there, untouched, and remains actionable.
  • Your auto-assign threshold setting is kept but has no effect until you reconnect.
  • Removing your own connection doesn’t affect any other Crew user’s Zoom connection.

What happens to your data

Crew revokes the Zoom access token immediately and deletes it from storage — whether you disconnect from inside Crew or remove the app from Zoom’s side, in which case Zoom notifies Crew directly and the same cleanup runs automatically.

Meeting notes, summaries, and action items already generated before you disconnected are not deleted. They’ve already become Crew project content by that point, not raw Zoom data, so they stay put under your workspace’s normal data retention — the same as any other note in the project.

Specific to Crew

The connection is host-scoped: Crew only ever captures recordings where you were the meeting host, and disconnecting only ever affects your own account, not your team’s.

Troubleshooting

Common issues when connecting or using the integration, and what to do about them.

Nothing happens after I record a meeting.
Check that the recording was saved to the Zoom cloud, not locally, and that Audio Transcript is turned on in Zoom’s recording settings (Zoom » Settings » Recording). Transcription itself can take anywhere from a few minutes to over an hour for long meetings — Crew imports it as soon as Zoom marks the transcript complete, not when the recording ends.

“This connection link has expired or is invalid.”
The Zoom sign-in link is only valid for ten minutes. Go back to Profile » Integrations and click Connect Zoom again to get a fresh one.

“Your Zoom connection has expired. Please reconnect.”
Zoom access tokens are refreshed automatically, but a refresh can fail if access was revoked from Zoom’s side without going through Crew. Click Reconnect on the Zoom card in Profile » Integrations — nothing you’ve already imported is affected.

The Connect Zoom button is greyed out.
This means Zoom hasn’t been made available on your Crew workspace yet. Reach out to your workspace admin to confirm the integration is turned on.

A transcript is missing decisions or action items I know were discussed.
AI analysis works from the transcript text alone, so cross-talk, heavy accents, or a poor audio connection can all reduce accuracy. Open the transcript from the review queue and edit the generated notes directly — edits don’t get overwritten on re-import.

A meeting was flagged as sensitive and paused.
Crew screens transcripts for sensitive content (legal, financial, HR topics) before auto-assigning them. A flagged transcript waits in the review queue for a manual decision instead of being assigned automatically, even if you have auto-assign turned on.
